1How many separate tools or spreadsheets does it take to run a day of dispatch?

One system runs the whole day.Two tools, and they mostly talk to each other.Three or four, and I retype between them.A pile of spreadsheets, texts, and a whiteboard.

2When a driver hits a dead zone, what happens to the work?

The app holds it and syncs when signal comes back.Most of it holds, some gets re-entered later.They call it in or write it on paper.The work is stuck until they are back in range.

3How does a customer find out when you are coming?

They get an automatic heads-up with an arrival window.We text them by hand when we remember.They call the office and we go find out.They find out when the truck shows up.

4How do overages and missed pickups make it onto the invoice?

Captured at the stop, on the invoice automatically.The driver notes it and the office keys it in.We catch it later, if someone remembers.Honestly, we probably eat most of it.

5Do you know how hard each asset is actually working?

I can see turns and idle days per asset any time.I can pull it together, but it takes real work.I have a gut feel, not a number.No idea which units are dead weight.

6How often does the schedule double-book a truck or an asset?

The system blocks the conflict before it happens.Rarely, and we usually catch it in time.Often enough that we keep a buffer for it.We find out when the driver calls from the wrong place.

7Right now, do you know where your trucks and assets are?

One board shows every truck and asset live.I can find out with a couple of calls.Roughly, from this morning’s plan.Not without getting on the phone.

8When a customer disputes a stop, what proof do you have?

Timestamped photos and a signature on every stop.Photos on most stops, if the driver grabbed them.A note in the log, sometimes.The driver’s word against theirs.
